Why this People Ops Manager refused to work without Rippling Spend

Pain Points

Manual currency conversions: Wasted hours manually converting currency from INR to USD for its India-based employees who submitted receipts for reimbursement. 

Scattered systems: The company managed expenses for US-based employees with Brex and India-based employees with manual Google Forms—both of which were siloed from its payroll system.

Meager corporate card perks: Memorang’s executives didn’t use their Brex corporate cards, since other card options had better cashback programs. 

The Challenge

When Kirin Quackenbush became People Operations Manager overseeing back-office operations, she quickly discovered issues with Memorang's expense reimbursement process for remote employees worldwide. The company's wellness program covers gym memberships and non-medical benefits for 29 employees, using Brex for 10 US-based staff but requiring the 19 India-based employees to submit expenses through manual Google Forms.

This created an error-prone system of monthly receipt uploads, manual reviews, and hand-calculated currency conversions that made accurate payment tracking impossible—especially with W-2 versus contractor payments involving different tax benefits. Employees would also often submit expenses months later, relying on memory to track everything.

“It was a real big pain,” Kirin said. “We were on these different systems and there was no way of tracking who was getting paid.” She thought Brex was “a little clunky and outdated.” And working out of Google Forms meant employees in India had to manually submit receipts, which Kirin had to go through one by one and manually convert Indian rupees to US dollars to approve—which drained time and risked errors. 

“I was like, ‘heck no,’ this is not going to work for me as an HR department of one person for 29 employees,” Kirin said. On the bright side, she knew exactly who to call.

One of the first things Kirin did in her new role at Memorang was convince the CEO to join Rippling Spend. When Kirin announced the switch to Rippling’s Expense Management solution at an all-hands on Google Meet, India-based employees reacted with emoji applause and confetti. “I couldn’t see my screen,” she said. “They were all so excited that they didn’t have to manually submit reimbursements anymore.”

The new system auto-captures receipt data and automatically sends it to Kirin for reimbursement. And when India-based employees submit expenses in rupees, Rippling converts them to dollars to help Kirin internally track expenses. Rippling Spend also gives her more control, like the policy she created to automatically block reimbursement requests over a pre-set limit.
