Swish Dental saves more than 30 hours a month on payroll and onboarding

Sluggish onboarding: With Paychex, Swish Dental lost time manually sending onboarding emails to new hires, who often spent part of their first day  filling out missing paperwork instead of training. 

Clunky scheduling: Swish Dental’s scheduling and payroll data lived in separate systems that didn’t reliably integrate, leading to duplicative work and payroll mistakes.

The Challenge

Swish Dental wants patients to look forward to getting their teeth checked out. “We stay up-to-date on the latest and greatest dental technologies so we can provide care that’s as comfortable as possible,” said Alyssa Mays, Swish’s HR Director. But as the growing company took stock of its HR tech stack, it spotted some cavities.

Swish used Paychex as its HRIS and hit manual onboarding logjams. The two-person HR team lost time manually creating PDFs, emailing documents back and forth, and tracking down important missing paperwork on a new hire’s first day. 

The company also used a separate third-party tool for scheduling, but Paychex couldn’t reliably integrate with it for payroll. “Sometimes, the data didn’t feed over right,” Alyssa said, who had to manually check whether the hours matched up and run payroll corrections after mistakes. Employees, meanwhile, had to request time off in two separate systems to get approved for PTO and get paid accurately. 

Swish needed a more efficient, less mistake-prone solution that’d help the company scale. “As we continued to grow, we tried to tie different platforms together, which created a lot more manual work and room for error,” Alyssa said. “We were looking for something that could do more within one system, but also something that could grow with us.”

At the end of 2021, Swish left Paychex and joined Rippling. Now, the company has a unified platform to handle every HR process, automate tedious manual work, and support its practice as it grows. “Rippling saved us time and helped us maintain compliance in the easiest way possible,” Alyssa said.

Seamless scheduling

When Swish first left Paychex, it initially kept Deputy, its third-party scheduling tool. While clunky with Paychex, Deputy seamlessly integrated with Rippling’s HRIS and payroll solution. “The connection between the two platforms was way more stable,” Alyssa said. “We didn’t have as many issues with the hours pulling over, so we didn’t have to do payroll corrections. It was more reliable and required less work.”
Then Rippling launched its own scheduling tool, allowing Swish to effortlessly staff shifts across its 18 dental offices, stay on top of compliance, and automatically sync approved hours to payroll. By bringing scheduling under a platform it already used, Swish saved time and money.
